News
If you wish to receive REEEP News, you need to provide us with your email address so that we can e-mail you information about our events, news and services. You will receive an automatic email asking you for the confirmation of your email address (“Double Opt in”). In case the registration for our News is not confirmed, your provided data will be deleted. In order to continuously improve our News, we are able to evaluate your interaction with the content you receive (opening our email and clicking on links).
We are using a mailing system run by Intiut MailChimp (“the Rocket Science Group LLC d/b/a Mailchimp”). Your email address and data entered will be transferred to and stored on MailChimp Servers located in the USA. MailChimp also stores the IP address of the computer where you sign up and where you last accessed the messages we sent. Unfortunately, MailChimp does not offer to turn this off or anonymize the IP like Google does.
The European Commission has adopted an adequacy decision which assumes an adequate level of protection for personal data that is transferred from the EU to the USA for companies participating in the EU – U.S. Data Privacy Framework. Intuit is listed as one of the companies in this “Data Privacy Framework List”.
Your personal data will be processed as long as you have not revoked your explicit consent for receiving REEEP communications.

Events
REEEP organises events such as trainings and conferences. If you register for one of our events, we process the personal data you provide (e.g. email address, name) for being able to organise the event and enable administrative preparation (Art. 6 para. 1 lit f GDPR).
Photos and Videos
Photos and videos may be taken during events organised by REEEP. Some of the photos and videos may be published on our Website www.reeep.org, in our annual reports and our social media channels.
The legal basis for processing these photos and videos data is your consent or that the processing is necessary for the purposes of REEEP’s legitimate interest in documenting the events, raising awareness for REEEP’s activities and sharing the events with a broader audience (see Art. 6 para. 1 lit a and f GDPR and § 12 para. 2 lit 2. and 4. DSG). We are aware of possible legitimate interests of persons being photographed or filmed and ensure to take care of not interfering with them.
In case you do not wish to be depicted on photo and video material in connection with a certain event you are attending, please contact us either prior or anytime during the event. You also have the right to withdraw your consent or to object to the use of your data anytime, also after photos have been already taken.
Application for job vacancies
REEEP processes personal data of candidates applying for job vacancies at REEEP in order to assess whether we can offer them a suitable position. The personal data we process encompasses contact information, phone numbers, names, email addresses, home addresses and any other personal data set out in the CV, including publicly available information, personal data shared via email, mail or disclosed by third persons and/or the candidate.
Personal data of candidates is processed based on the legitimate interest at the request of the candidate as data subject prior to entering into a contract (Art. 6 para. 1 lit b GDPR) as well as the legitimate interest of filling REEEP’s vacancies with qualified candidates through an efficient application procedure (Art. 6 para. 1 lit f GDPR).
The candidate’s personal data and application documents are only shared with REEEP staff, REEEP Governing Board members (if applicable) and members of an evaluation committee directly involved in the application process. In exceptional cases, recruitment processes include panel interviews which involve external members. If the candidate is invited to such a panel interview, their application documents will also be shared with external panellists to allow them to prepare for the interview.
In case we cannot offer the candidate the vacancy they applied for, the candidate’s personal data will generally be stored for a retention period of 7 months. If the candidate consents to REEEP keeping the application in evidence for future job openings (“candidate pool”), the respective data will be stored for a period of 3 years starting from the date on which consent was given for the first or consecutive time. Candidates can contact REEEP via eszter.winkler@reeep.org in case they do not wish to be part of the candidate pool any longer, and their data will be deleted.
In case of a successful application, the candidate’s data collected in connection with the application will be stored in line with legal retention periods or as long as legal claims are not time-barred under the applicable law.
Donations
If you donate to REEEP, the personal data you provide such as name and credit card number will be processed for the purpose of handling your donation. The legal basis is our legitimate interest of being able to process your donation (Art. 6 para. 1 lit f GDPR), but also applicable tax regulations and anti-money laundering provisions (Art. 6 para. 1 lit c GDPR).
If you decide to donate via the donate button on our website, personal data will be transferred to external service providers involved in facilitating the donation process. Our service providers are: Wikando Gmbh, Schießgrabenstr. 32, 86150 Augsburg, Germany (FundraisingBox) and Stripe Payments Europe, Limited, 1 Grand Canal Street Lower, Grand Canal Dock, D02 H210 Dublin, Ireland (payment service provider).
To ensure the security of your personal data to the best extent possible, we have entered into data processing agreements with both service providers pursuant to Art. 28 GDPR. In these agreements, our service providers commit themselves to suitable data security measures.
In the event of a successful donation, REEEP will retain your data for the duration of the legal retention period for seven years.
For how long does REEEP store your personal data?
Unless specified above, your personal data is kept only as long as necessary and is reviewed and deleted as required by the applicable laws and regulations, in particular, the GDPR. If you withdraw your consent to data processing, your personal data will be deleted, unless there is another lawful reason – such as a legal obligation – to keep it further.
Will REEEP disclose any of your personal data?
Unless specified above or communicated to the data subject concerned, we generally do not rent, lend or sell personal data to anyone outside of REEEP and only transfer your data to third parties in limited circumstances subject to your consent.
REEEP will further only disclose personal data to comply with applicable laws or valid legal processes, or to protect the rights or property of REEEP. The legal basis for such disclosure is the necessity for compliance with a legal obligation or REEEP’s legitimate interests pursuant to Art. 6 para. 1 lit c and lit f GDPR.
We may disclose aggregate information — for example, 5,000 readers clicked on a certain news article — in order to describe our services to partners and other third parties, and for other lawful purposes. For all disclosures, we ensure that aggregate information cannot be traced back to individual users.
